Exams/ MIS Officer 
Job description 
Hours: 08.30 – 16.00 Monday – Friday 
Responsible to: Support Services Manager 
Salary Range: £18,000 
 
Main duties include: 
 
The main aim of this post is primary responsibility for the management of the examination services of Fareport, ensuring that there is a systematic approach to the administration of examinations and that the examination service meets all internal and external quality standards. Producing guidelines for staff and learners on the examination procedures and conduct is an important function of this role in addition to liaising with the awarding bodies and internal teams including Quality and Delivery. 
 
Responsible for all registration and full ACE claims under current framework standards as well as supporting the transition to any new processes for Standards and End Point Assessment. 
Supporting with any other administrative support required within the Support Services Team. This will include some MIS data input to ensure smooth and accurate monthly claims. 
 
Person Specification: 
 
Minimum requirements for the is role include communication skills to GCSE Grade A-C level standard or equivalent, good confident ICT skills (excel, access, word, PowerPoint as a minimum with confidence to transfer to internal and external customised programmes and platforms) and numeracy skills at a minimum of Grade C GCSE or equivalent. 
 
A customer focused administrator who possesses excellent written and verbal communication skills and has a proven ability to use them effectively when dealing with all levels of stakeholders. Strong attention to detail, good time management and organisational skills, combined with the ability to prioritise, which will enable you to successfully meet deadlines. 
 
• Register learners with the appropriate awarding bodies and update learner records to show details 
• Disseminate information, answering enquiries and dealing with complaints regarding external examinations with staff, learners and parents/carers and employers 
• Submitting entries for external examinations to awarding bodies in advance of deadlines 
• Organising SEN (special educational needs) provision, including liaising with Trainers with regards to specific identified learner needs and agreeing additional time with Awarding Bodies 
• Register and claim full framework certificates ACE [Sector Skills Councils] ensure all claims are processed timely and audit evidence retained and stored 
• Receiving, recording and issuing of certificates following dispatch from awarding bodies 
• Managing the daily running of examinations [Internal & External], this will include ensuring that all required materials are in the examination rooms for the start of examinations and arrangements for candidates with special educational needs are in place. Preparation for all external examination to including preparation of laptops and required paperwork and resources. 
• Organising exam materials, providing safe custody of and organising examination paperwork and materials, including question papers, in accordance with regulations 
• Organising examination rooms, in accordance with regulations, including ICT “trouble shooting” in advance of online testing 
• Provide a centre timetable to include dates, times, venues and candidate details (central diary system) 
• Maintaining and issuing current guidance notes for candidates and staff (including invigilating and IQA staff) to ensure clear understanding by all participants 
• Checking and dispatching worked scripts (including unused items) in accordance with the regulations 
• Arranging invigilation, including briefing of invigilation and IQA staff 
• Publishing examination results 
• Processing enquiries about results and requests for return of scripts 
• Accurate record keeping, including filing and archiving of auditable records 
• Maintaining Registration Database and sending reminders for registrations, exams, upskilling etc 
• Visitors - greeting visitors and ensuring that they are booked in the visitor’s book, representing the organisation in a positive and professional manner 
• Answering the telephone, taking messages accurately and passing these on promptly (including email duplication for staff out of the office) 
• General administration duties as required by the organisation 
• Support with hospitality and room preparation 
• Collect and distribute post internally and externally 
• Report faults on electrical appliances – photocopier, printers and computers 
• Evaluate and develop own practice 
• Invigilation for assessments 
• Maintain confidentiality of information, including appropriate reporting under Safeguarding Policies and procedures 
• Maintain own Continued Professional Development 
• Promotion and adherence to the C.I.F, employer engagement and other performance standards as required by the organisation and industry 
• Promotion of IAG in line with MATRIX standards

We deliver Retail Apprenticeships and Management Training across England to many well-known fashion and retail brands who want to upgrade the skills and qualifications of their workforce. 
 
We are currently taking applications from experienced Trainers with a strong Retail Management background to support our delivery within high end retailers offering Apprenticeship programmes in Retail and Management - Levels 2, 3 and 5. 
Fareport's Retail and Management programme was originally created to support the Theo Paphitis Retail Group and has since gone on to work with some of the biggest names in the Retail industry. 
 
Responsibilities and Duties 
 
We are looking for self-motivated and engaging applicants who can energise people of all ages to start, undertake and complete their apprenticeships - this includes identifying the most appropriate training plan for each individual learner, ensuring learners are visited every 4-6 weeks depending on their individual needs. 
 
Candidate must be able to deliver workshops and classroom training sessions. The role entails regular contact with both the learner and their employer including remote assessment via our online learning platform, face-to-face, email, Skype and telephone contact. 
 
Please note, this role requires you to be able to travel independently within London or other parts of the country. 
 
Qualifications and Skills 
• Excellent communication skills - including written, spoken and ICT 
• Experienced writing and delivering group workshops and classroom training sessions 
• Occupational experience in Retail Management. Fashion or luxury experience highly desirable 
• To be a source of inspiration for your learners - engaging, enthusiastic and self-motivated 
• Organisation skills - including ability to diary manage your caseload and appointments 
• Must be able to work as part of a team - to achieve individual, team and company targets 
• Able to work independently and remotely (resources will be supplied) within the core business hours (8.00am - 4.00pm) as well as being flexible to meet your learners needs 
• Excellent experience and CPD activity within Retail and ideally Management. (3 years minimum) 
• Hold the D32/33/A1/TAQA L3. Fareport offers an excellent training and development package for all Trainers and the opportunity to work towards AET, CET and DET [PTLLS, CTLLS and DTLLS] as appropriate during the course of their employment if not already held.
